In practice it handles the repetitive, rules-based work that eats a team’s day: answering the same customer questions, taking bookings, chasing quotes and invoices, moving information between systems that don’t talk to each other, and pulling numbers together for reports.
What it does not do is replace judgement. Pricing calls, difficult customers, and anything needing relationship or context still belong to people. The realistic goal is giving your team back the hours they currently lose to admin.
A useful test: if a task follows the same steps every time and someone could write those steps down, it is probably automatable. If it changes based on judgement, it usually is not.
Start where three things overlap: the task happens often, it follows a predictable pattern, and getting it wrong costs you money or goodwill. Answering the same enquiry fifty times a week scores on all three. A complex annual process scores on none.
A common mistake is starting with the most frustrating task rather than the most frequent one. Frustration is a poor guide to value; volume is a good one.
It also helps to pick something whose result you can measure — hours spent, response time, error rate — so you can tell afterwards whether it worked.
No. A grant lowers the cost of a project; it is not a requirement for doing one. For eligible SMEs the Enterprise Development Grant supports up to 50% of qualifying costs with no fixed cap, and Enterprise Singapore decides who qualifies.
The trade-off is timing. A grant must be approved before any work begins, which adds lead time, and it works as a reimbursement — you fund the project, then claim the supported portion back after completion. A self-funded project can be scoped to whatever budget you have and start immediately.
Neither route is better. Larger projects often justify the wait; smaller, focused ones usually do not.
Starting too early. If you sign a contract, pay a deposit, or begin the work before your application is approved, the project is generally treated as already commenced and no longer eligible.
This catches people out constantly, because the natural instinct is to get moving and sort the paperwork afterwards. With grant funding, the order has to be the other way around.
If a grant might be relevant to you, the practical advice is simple: find out before you commit to anything, not after.
Most failures are not technical. The tool works; nobody uses it. That happens when a system is designed around how a process is supposed to run rather than how the team actually runs it, or when training is treated as a handover email instead of part of the work.
The second common failure is having no agreed measure of success. Without a number written down before you start, there is no way to tell afterwards whether it was worth doing — so it quietly gets abandoned.
If a previous system in your business ended up unused, that history matters more than the technology choice. It usually means the next project should start with the people, not the tooling.
Singapore’s Personal Data Protection Act sets obligations around consent, purpose, and how long you keep personal data. Two are easy to overlook when adding AI: you must not keep personal data once the purpose it was collected for has ended and there is no legal or business need, and sending data outside Singapore carries its own transfer obligations.
In practice this shapes design decisions — what gets collected at all, what is stored versus processed and discarded, and which third-party services are involved.
Worth knowing: marking a record as deleted while keeping the name, contact details or identifiers in the row still counts as retaining it.
